Front Desk Confessions: Behind the Booking Curtain

Front Desk Confessions: Behind the Booking Curtain

☀️ Summer’s Heating Up—and So Are the Booking Headaches

As the Midwest sun climbs and our hotel swings into peak season, there's an unmistakable energy in the air. Families are piling in for Holiday World, couples are road-tripping through Indiana’s scenic byways, and busy travelers are just seeking a weekend escape. I love the hustle, the new faces, and the excitement of the summer season… But you know what’s not so lovable?

...Third-party hotel booking sites.

Yes, those convenient platforms that promise “exclusive deals” or “last-minute steals” are often a vacation’s worst enemy. As someone working the front lines at a major hotel brand chain, I’m here to share a little inside intel: booking through those sites can be a gamble.

Here’s What They Don’t Tell You

  • Deceptive Listings: Sometimes guests arrive thinking they’ve booked a suite… only to discover it’s a standard king. Those “room types” they saw? Not quite reality. Often guests are told they have a pull-out sofa, a view, or suite and the truth is, those room types don’t even exist at the hotel.
  • No Control, No Access: When you book through a third party, we can’t see your payment details or make modifications. Need to cancel? Add a pet? Change the dates? You must contact the booking site. And trust me, they don’t answer with our Southern Indiana hospitality. It is a waiting game and if you get a human representative on the line, they may be in a different country.
  • Pricing Illusions: Those “discounts” may look appealing, but they often tack on hidden fees, or strip away benefits you'd get by booking direct, like flexible cancellation, loyalty points, or upgrades.

The Dirty Details You Don’t See on the Booking Site

Let’s set the record straight on how this works from the front desk side:

  • We can’t cancel your reservation. Even if your plans change, we’re stuck. Why? Because when you book through a third party, your reservation is locked in through them, not us. Most of these sites have strict no-cancel policies, and they don’t budge. So, call the hotel? It won’t help because we legally can’t override their terms.
  • Your credit card doesn’t even come to us. They charge you and pay us with a virtual card, basically a temporary, one-time-use number. That means we can’t verify your payment method or adjust it, so we are flying blind when something goes wrong.
  • No perks, no upgrades, and no fixes. Your room type might not be guaranteed, your special requests might get lost in the shuffle, and if something goes wrong with the reservation you made, the third party (and not the hotel) is who you must call.

Here Are the Most Common Complaints Guests Have with Third-Party Sites:

  1. “That’s not the room I booked!”

Guests often arrive expecting a specific room type, only to find they’ve been assigned a standard double. Why? Because third-party sites sometimes list room categories that don’t even exist at the property.

  1. “I want to cancel, but the hotel says I can’t!”

This one’s a heartbreaker. Most third-party bookings are non-refundable or have strict cancellation policies, and when guests call the hotel to cancel, they’re shocked to hear we can’t help. Only the booking site can process cancellations.

  1. “I didn’t know there were extra fees!”

Hidden resort fees, service charges, or taxes often aren’t clearly disclosed until checkout. Guests feel duped, and understandably so.

  1. “I didn’t get my loyalty points!”

That’s because third-party bookings usually don’t qualify for brand loyalty programs. Guests miss out on the perks they could’ve earned by booking directly.

These complaints aren’t just frustrating for guests, they’re tough on front desk teams who want to help but are stuck in the middle.

Why Booking Direct Is Better—For Everyone

When you call the hotel or use the official hotel brand app, you’re not just supporting the brand, but we get to offer you the full experience. This way we can help with changes, explain amenities, and prepare for your arrival the way you deserve. If you want seamless check-ins and no surprises, booking direct is the best option. We’re ready to make your stay incredible, but we need the tools to do it, and that starts with knowing who you are before you walk through our lobby doors.

Next time, skip the booking roulette. Give us a call or open the app. Summer’s short—don’t let a shady website take the shine out of it.
